Getting started

How do I log in and find my way around?

Sign in at your board's personalised web address (it ends in .app.gospacewalk.com). You'll land on your board's home page - exactly what your members see. From there, press "Manage Marketplace" to reach your controls: "Overview", "Customisation", your member tabs and "Analytics".

The menu icon (top right) opens the sidebar: "Tips and reminders", "Manage" ("Company", "Marketplaces" and "Roles"), one-click "Manage marketplaces" links into each of your boards and "Account". The bell icon opens the "Notifications" sidebar, where updates and alerts are grouped - when there's nothing to act on, it says "Nothing needs your attention."

What's a jobs marketplace and what does Spacewalk do automatically?

It's your own branded job board and careers hub that connects your talent community with relevant opportunities. Once your board is set up, Spacewalk notifies you of join requests, lets companies post roles, notifies candidates of suitable new roles, notifies employers of new applications and lets employers review and contact applicants.

How much ongoing work does running my board take?

After a short setup - branding, access, inviting your community and telling us your job stream criteria - very little. Most admins spend a few minutes here and there:

  • Approve the occasional join request (you're notified).
  • Add a one-off role now and then with the AI importer (paste a link, publish).
  • Glance at your metrics before a stakeholder update.

You don't hunt for jobs to keep the board fresh, you don't reconfigure the stream yourself and you don't chase members with updates - the weekly role-match email does that for you.

Jobs and the job stream

How does the automatic job stream work and how do I set it up?

The job stream keeps your board full of fresh, relevant roles automatically. You don't build it in the app - you tell us the kind of roles your members want (job specialities, skills, seniority, locations or regions) and we configure the stream for you. New matching roles then flow onto your board on their own, marked "Just Listed" when they're brand new.

Roles are sourced directly from employers, not scraped from job-board aggregators, so they're real and current - and the stream can be customised for any speciality, seniority and region, globally. To change it later, just tell us your new criteria; there's nothing to reconfigure on your side.

Members get filters to discover stream roles - "When Posted", "Categories", "State Or Region" and "Source" - and you can turn on the Weekly "Job Stream" Opportunities Email under "Customisation" then "Settings" then "Engagement" so members receive role matches by email every week.

How do I add a single job myself with the AI importer?

  1. On your board, press the post button (labelled "Post Job" or "Post Opportunity", following your terminology).
  2. Under "Import external role", choose "From URL" and paste the job posting's link, then press "Import" - or choose "From Text", paste the description and press "Extract".
  3. Check the auto-filled details: title, description, skills, location, type, hours and experience.
  4. Under "Who is this role for?", confirm the employer applicants will see (press "Change employer" to pick or add another).
  5. Tick the board(s) under "Display opportunity on...", choose your "Application method" and press "Publish" (or "Save as Draft").

Optional extras on the same form: "Screening Questions", "CV required to apply", featuring the role and sharing controls such as "Require marketplace membership to view role".

How do I add pay, budget and duration details to a role?

On the role form, use "Budget": choose a "Budget status" ("Specified amount", "Negotiable", "Unpaid" or "Not specified"). For a specified amount, pick a "Payment basis" - a "Time-based rate" (per hour, day, week, month or year) or a "Fixed fee" - enter the amount in any of 40+ currencies and tick "Show budget on the role page" if candidates should see it. Under "Expected duration", choose "Permanent", "Fixed term" (with a length) or "Not specified".

How do I manage the employer brands I post roles for?

Open the menu, then "Manage Company", then "Company", then "Employer profiles" - one place to add, search, edit, duplicate, remove and export the employer brands you post on behalf of. While posting a role, press "Change employer" to select one or add a new profile on the spot.

Can I send applicants to my own ATS instead of Spacewalk?

Yes. When posting a role, choose "Redirect to an external application form / ATS" under "Application method" and paste your "ATS URL". When a job seeker presses "Apply", they go straight through to your ATS. Prefer to collect applications in Spacewalk? Choose "Receive applications on Spacewalk" instead.

How do I close, hide or feature a role?

Manage individual roles from "Manage Company" then "Roles" (filter by "Available", "Closed", "Archived" or "All"). Feature a role by turning on "Show as featured opportunity" when you post or edit it. Hide closed roles board-wide with "Hide Closed Roles" under "Customisation" then "Settings".

Members and invites

How do I control who can join my board?

Go to "Manage Marketplace", then "Customisation", then "Settings". Under "Marketplace access" choose "Public" (anyone can join), "Private" (join by invitation or approved request) or "Invitation only" (members must be invited), then press "Save". You can also show a company join option for employers and allow company members to invite job seekers.

How do I invite my talent pool, including all at once?

Go to your members tab in "Manage Marketplace", then "Invites". Add people one at a time with "Add to list" or press "Paste a list" and drop in your whole list - one or several people per line, names optional, in any mix of formats. Press "Add valid people to list": duplicates are merged automatically and anything unrecognised stays in the box with a clear message so you can fix it. Review the "Ready to send" list, then press "Send invitations".

The "Invites" tab tracks everyone invited - resend an invite or copy an invite link from a person's row.

How do I invite employers / companies?

Go to "Manage Marketplace", then your companies tab, then "Invites". Under "Invite Company", search by name and click to invite - or invite them by email if they're not found.

How do I approve requests or remove someone?

Approve waiting people from the "Requests" tab (you're notified in the bell-icon "Notifications" sidebar). To remove someone, press the red remove icon in their row on the "Joined" tab and confirm.

Who can see my talent pool?

By default, only you and your co-admins - whether your board is public or private. Members and employers see the roles and community features you switch on, not your full list of people.

Custom skills

How do I use custom skills for my own talent pool?

Custom skills are designed for boards that connect roles to their own talent pool - like tutor companies, internal talent marketplaces or specialised on-demand agencies. Instead of the standard skills library, you maintain your own approved list (and even your own wording, such as "subject" and "subjects").

  1. Open the menu, then "Manage Company", then "Settings".
  2. Expand "Advanced" and switch on "Enable custom skills". Optionally set your "Singular terminology" and "Plural terminology", then press "Save".
  3. A "Skills" tab appears. Press "Add skill", enter the "Skill name", pick a "Category" (General, Technical, Tool, Domain, Behavioural, Physical, Qualification, Certification or Human language), keep "Use this skill to trigger match email alerts" on if roles tagged with it should notify matching members and optionally add "Tooltip text".

When posting a role, the "Desired skills" search then draws on your own catalogue, so roles are matched to people with those exact skills. The Skills table shows "Role uses" and "Profile uses" so you can see which skills are doing the work. If you run a general job board, leave this off - the standard library already covers general hiring.

Metrics and reporting

Where do I see engagement, applications and progress?

Go to "Manage Marketplace", then "Analytics". Three views cover it all:

  • "Roles" - "Total Roles", "Active", "Closed", "Employers" and "Applications", plus a sortable table of every role with a "Date posted" filter and an "Export" button.
  • "Applicants" - "Applications", "Applicants", "Roles", "Employers", "Interviews" and "Placements".
  • "Metrics" - engagement for the "Last 30 days" and "All time": "Total Visits", "Unique Visitors", "Roles Posted", "Role Views" and "Total Applications".

These numbers update themselves, so the answer to "is it working?" is always ready to screenshot for your stakeholders.

Branding

How do I make the board look and read like mine?

Set it once and forget it:

  • Name, description and web address - "Manage Marketplace", then "Overview": edit "Marketplace name", "Marketplace Overview" and your "Personalised URL".
  • Logo and images - "Customisation", then "Branding": upload your "Hero Image", "Logo" and the "Mobile hero / social sharing / login page image".
  • Header and footer - menu, then "Manage Company", then "Company", then "Navigation": set background and text colours and press "Add link" to add your own header or footer links.
  • Your own wording - "Customisation", then "Terminology": rename "Opportunities", "Companies" and "Individuals" (for example "Jobs", "Employers" and "Job seekers") and your board's buttons and tabs follow suit.
  • Announcement cards - "Customisation", then "Announcement cards": a headline, two lines, an optional button and start/end dates, with a live preview. They sit at the top of your board on mobile and on the right on desktop.
  • What appears on the board - "Customisation", then "Settings": community features ("Community Chat", "Featured Roles", "New Roles", "New Members"), "Preview role details in sidebar", "Hide Closed Roles" and the Weekly "Job Stream" Opportunities Email under "Engagement".

Billing and plan

What does Spacewalk cost and how do plans and contracts work?

You start with a marketplace plan and add optional modules - the automatic Job Stream (per category) and the AI-powered importer. Every plan includes a fully functional job board with web and mobile access, unlimited employers, unlimited admin seats, smart talent matching, bulk invite of your talent pool, talent engagement insights, talent match emails, ATS link integration, free setup and onboarding, live chat support and a money-back guarantee. For current prices, see the pricing page.

  • All plans are month-to-month unless you choose a yearly plan.
  • Yearly plans get 20% off.
  • There are no setup fees on any plan.
  • You can upgrade, downgrade or cancel at any time.

Are there extra charges for adding admins?

No. Admin seats are unlimited and free on every plan - add as many colleagues as you need so the (already light) work can be shared.

Data export

How do I export my members and roles?

Your data is yours - press "Export" on the relevant list and it downloads as a spreadsheet (CSV) file:

  • Members - your member tabs in "Manage Marketplace" (for example "Employers" and "Job seekers").
  • Roles - "Manage Marketplace", then "Analytics", then "Roles"; or "Manage Company", then "Roles".
  • Employer profiles - "Manage Company", then "Company", then "Employer profiles".

Account and teams

How do I add admins and run more than one board?

Open the menu, then "Manage Company", then "Company", then "Staff", then "Invite Admins" - paste up to 30 email addresses and press "Send admin invites". Admins can manage your company, post opportunities, review applications and join or start boards.

Running several boards? The sidebar's "Manage marketplaces" group links straight into each board's control room. "Manage Company", then "Marketplaces" lists them all. You can post one role to several boards at once by ticking each board under "Display opportunity on...".

How do I move my existing data over to Spacewalk?

Our team helps you move your data across - whether it lives in another platform or a spreadsheet. Free setup and onboarding is included on every plan. You can bulk invite your whole talent pool yourself right away with "Paste a list".
